1. Overview
WingsRoute ("WingsRoute", "we", "our", "us") is committed to providing a transparent and fair refund process for all our customers. This Refund Policy outlines the terms and conditions applicable to cancellations, amendments, and refunds for travel packages, flights, hotels, and other services booked through WingsRoute.
By making a booking with WingsRoute, you agree to the terms set out in this policy. Please read this document carefully before confirming your reservation.
2. Cancellation Windows & Refund Entitlement
Refund amounts are calculated based on how far in advance you cancel before your confirmed departure date. The following schedule applies to standard travel packages:

Note: The cancellation schedule above applies to the total package price, inclusive of accommodation, ground transportation, and guided tours. Flight tickets are subject to the individual airline's cancellation policy (see Section 4).
3. How to Request a Cancellation
All cancellation requests must be submitted in writing. Verbal cancellations are not accepted. To cancel a booking, please follow the steps below:
- Send an email to cancellations@wingsroute.com with the subject line: CANCELLATION – [Your Booking Reference].
- Include your full name, booking reference number, departure date, and reason for cancellation.
- You will receive a written acknowledgement within 2 business days confirming receipt of your request.
- The date of your written cancellation request is considered the official cancellation date for refund calculation purposes.
- Once confirmed, approved refunds are processed within 10–14 business days to your original payment method.
4. Flight Tickets
Flight tickets booked as part of a WingsRoute package or independently through our platform are subject to the fare rules of the issuing airline. WingsRoute does not control airline refund and cancellation policies.
- Non-refundable fares: Many promotional and economy fares are non-refundable. Any taxes and airport fees may be refundable; WingsRoute will apply on your behalf where possible.
- Refundable fares: If you have booked a fully refundable fare, the airline's stated refund timeline applies (typically 7–21 business days).
- Date changes: Change fees imposed by the airline are the passenger's responsibility. WingsRoute charges an additional service fee of ₹750 per person per change.
- No-shows: Passengers who do not board their flight without prior cancellation forfeit all refund entitlement.
5. Hotel & Accommodation Bookings
Hotel bookings made through WingsRoute are subject to the specific property's cancellation policy, which will be clearly stated at the time of booking confirmation.
- Free cancellation bookings: Fully refundable if cancelled before the property's stated deadline (usually 24–72 hours before check-in).
- Non-refundable / prepaid bookings: These rates offer a discount in exchange for no cancellation flexibility. No refunds are issued.
- Early departure: If you check out earlier than the booked dates, the unused nights are generally non-refundable. WingsRoute will attempt to negotiate a partial refund on your behalf, but this cannot be guaranteed.
6. Visa & Travel Insurance Fees
Visa application fees and travel insurance premiums paid through WingsRoute are non-refundable in all circumstances, regardless of the outcome of the visa application or the reason for trip cancellation. This is because these charges are passed directly to the relevant government authority or insurance provider.
We strongly recommend purchasing a comprehensive travel insurance policy that includes trip cancellation cover. WingsRoute can assist you in selecting appropriate coverage.
7. Exceptional Circumstances
We understand that sometimes extraordinary events occur beyond your control. WingsRoute will consider refund requests on a case-by-case basis for the following situations:
- Medical emergencies: Serious illness or hospitalisation of the traveller or an immediate family member, supported by a valid medical certificate.
- Bereavement: Death of an immediate family member, supported by a death certificate.
- Government travel advisories: If the Indian government or the destination country's government issues a Do Not Travel advisory after booking confirmation.
- Natural disasters or force majeure: Events beyond human control such as earthquakes, floods, or pandemics that make travel impossible or unsafe.
In such cases, WingsRoute may offer a full or partial refund, a credit note valid for 12 months, or a free date change at our discretion. Supporting documentation is required for all exceptional circumstance claims.
8. Cancellations Initiated by WingsRoute
In the unlikely event that WingsRoute must cancel your booking due to operational reasons, insufficient group numbers, or force majeure, you will be entitled to:
- A full refund of all amounts paid to WingsRoute, processed within 14 business days; or
- A credit note for the full booking value, valid for 18 months, with priority re-booking; or
- An alternative trip of equal or greater value, with any price difference either refunded to you or charged at cost.
WingsRoute will notify you in writing as soon as a cancellation is confirmed and will not be liable for any consequential loss including but not limited to non-refundable flights or accommodation booked independently.
9. Booking Amendments
If you wish to change your travel dates, destination, or party size rather than cancel, the following amendment fees apply:
- More than 45 days before departure: ₹1,000 per person per amendment, subject to availability.
- 15 – 44 days before departure: ₹2,500 per person per amendment, subject to availability.
- Fewer than 15 days before departure: Treated as a cancellation and re-booking. The original cancellation policy applies.
- Name changes: ₹750 per passenger, provided the flight ticket permits name corrections. Airline name-change rules take precedence.
10. Refund Processing Timeline
Once your refund has been approved, the following timelines apply:
- Credit / debit card payments: 7–14 business days (depending on your issuing bank).
- UPI / Net banking: 5–7 business days.
- WingsRoute credit note: Issued within 48 hours of approval and valid for 12 months.
- Cheque payments: Account payee cheque dispatched within 10 business days.
WingsRoute is not responsible for delays caused by your bank or payment provider. If your refund has not been received within the stated timeline, please contact us with your booking reference and payment confirmation details.
11. Disputes & Escalation
If you are dissatisfied with the outcome of a refund request, you may escalate your complaint by emailing grievance@wingsroute.com. Our Grievance Officer will respond within 7 business days.
All disputes are subject to the jurisdiction of the courts in Cheyenne, Wyoming, United States, and shall be governed by the laws of the State of Wyoming.
